Job Description

Are you an organized administrative professional with a background in the construction industry? We are looking for a reliable, detail-oriented Construction Administrative Assistant to join our growing team and help keep our projects running smoothly from the office to the field.

In this role, you will be the backbone of our daily operations, bridging the gap between our project managers, subcontractors, and accounting team. This is a fantastic opportunity for someone with foundational construction knowledge who wants to grow their career in project administration.

salary: $18 - $20 per hour
shift: First
work hours: 8 AM - 5 PM
education: High School

Responsibilities

  • Project Document Control: Assist in organizing, tracking, and distributing critical project documents, including contracts, permits, schedules, and submittals.

  • Purchasing Support: Assist with the preparation, review, tracking, and processing of project purchase orders (POs).

  • Vendor & Subcontractor Relations: Communicate with vendors and suppliers to ensure timely delivery of materials, verify delivery tickets, and resolve order discrepancies.

  • Basic Financial Support: Assist with billing and accounting tasks, including preparing invoices, tracking payments, and organizing receipts or expense reports.

  • Data Entry & Reporting: Maintain accurate project and financial data within company systems and assist with routine reporting.

  • Office Coordination: Manage daily administrative tasks, including answering phones, routing emails, ordering office/site supplies, and maintaining digital and physical filing systems.

  • Team Liaison: Facilitate smooth, timely communication and workflow between field crews (job site) and management (main office).

  • General Support: Perform routine administrative duties and provide ad-hoc support to project managers and executives as needed.
